Onboarding can take a while to get a new assistant up to speed. One thing that takes that longest but is possibly the most important is having your assistant know who is important to you - whether that is coworkers, clients, or family members. Having a spreadsheet with key information on those folks will make it a great reference for your assistant.

I recommend having a spreadsheet with having different tabs dedicated to the different faces of your work/life. The three tabs I would recommend are:

  • Staff/Coworkers

  • Family/Friends

  • Clients/Contractors

As you have different relationship needs for each, different information should be included.

Staff/Coworkers

The most important things for your assistant to know if you have a team is who to pass things on to. One goal of saving you time is making sure that request that come your way go to the correct person if it needs to be delegated. Knowing who on your team is in charge of marketing, finance, and tech will help your assistant triage any requests that come in. It is also important for them to know who you manage, as those team members will likely need more one on one time with you than the rest of your coworkers.

Family/Friends

Knowing who is important in your day to day life, as well as important milestones you share with them like birthdays and anniversaries will help your assistant make sure that you are prepared for them. It’s also good for them to have a list of your emergency contacts should something arise.

Clients/Contractors

While all your clients may be awesome, some may be more high priority than others, or require a delicate touch. Indicate to your assistant which ones you need to be flagged on with any communication, and which ones they can take the lead on.
